00:00Hello, my name is Chandresh Sagar. Here we have brought a new course for you all.
00:06This course is going to be on Microsoft Access.
00:09Many people use Microsoft Office and its products.
00:14And whenever you install Microsoft Office or Microsoft Suite on your PC,
00:19you get a bundle of software installed there.
00:22One of those software is Microsoft Access.
00:25Many people don't know how this software works.
00:29So this course is for all those people who want to learn Microsoft Access.
00:35I have brought this course for everyone from basic to advanced level.
00:40Because there are many people here who don't know how to use this software.
00:45So I have made this course very basic for them.
00:50Even if you are opening this software for the first time,
00:53you will know how to use this software.
00:57And if you already know how to use this software,
01:00you will get to learn some unique things in this course.
01:05And you can give a creative way to your users.
01:10So let's start our course.
01:13Microsoft Access 2019
01:17Basically, this 2019 version indicates that we are going to learn the 2019 version of Microsoft Access.
01:27This is the latest version.
01:29And there are many people who use the older version.
01:31So you don't have to worry.
01:33Almost both the features are the same.
01:35This 2019 version is a little modified.
01:38And you get to see some additional features here.
01:41I will mention all the additional features here in this course.
01:47So this course is going to be basic to advanced.
01:50As I told you, even if you are opening this software for the first time,
01:54you will know how to use this software.
01:58So we have prepared this course from the basic level.
02:01So let's start.
02:03What is Microsoft Access?
02:06Microsoft Access is a database management system from Microsoft
02:10that combines the relational access database engine
02:15with a graphical user interface and software development tool.
02:19The definition confuses us.
02:22So the reason for this is,
02:25I can tell you a definition.
02:27Many people don't know how Access works.
02:30There is a reason for this definition.
02:32Whenever they search in Google or on the Internet,
02:36what is Microsoft Access?
02:38So they see this result on the Internet.
02:41Now where they will see this result,
02:44they will be confused by using this result.
02:47What did the Internet tell us?
02:49We don't even know what this is.
02:51So you don't have to pay attention to the definition here.
02:54You just have to pay attention to one thing.
02:56Microsoft Access is a database management system from Microsoft.
03:02Microsoft Access is a database management system
03:06developed by Microsoft.
03:08That's all you have to pay attention to.
03:10Now comes the database management system.
03:14Database management system is also called DBMS.
03:19Many people will be confused by the name DBMS.
03:22They have heard of DBMS somewhere.
03:25We will know this very well in the coming class.
03:30But since it is an introduction class,
03:32let's keep it simple.
03:34We won't go into too much detail.
03:36Otherwise, those who are planning to learn MS Access
03:39will drop it from now on.
03:41So we will learn it step by step.
03:46So the most important thing in the database management system
03:50is the database.
03:52So before learning the database,
03:54we have to know what data is.
03:56If we know the data, then the database is very simple.
04:00So let's start with the data.
04:03What is data?
04:05Data can be anything.
04:07If you are watching my class,
04:10then how many students are watching my class?
04:12What are their names?
04:14Your name is Yash.
04:16The second user's name is Sagar.
04:18The third user's name is Mayank.
04:20The fourth user's name is Priyanka.
04:23And there are many users and students.
04:25I have collected the names of different students here.
04:28If they have enrolled in this course,
04:31then I have collected their enrollment number.
04:35So here I have got two data.
04:37I have got the name of the student.
04:39I have got the enrollment number.
04:41The student's date of birth, which can be the third data.
04:44So here, for example, I will take
04:46the name of Yash first.
04:48So Yash is a student.
04:49I have got his enrollment number.
04:51I have got his date of birth.
04:53I can take his section when he took admission.
04:57I can use his contact ID or email ID
05:01at the time of enrollment.
05:04So here I have got five things for Yash.
05:07So what is this?
05:08I have data of Yash.
05:09What is the data of Yash?
05:11This is my enrollment data.
05:13Whatever data he has given me at the time of enrollment,
05:16that is all data.
05:18So this is only data of Yash.
05:20Now here, when there is data of more than one student,
05:24like this is data of Yash.
05:26Now after this, the second student,
05:28someone's name is Priyanka.
05:30So Priyanka's name, his enrollment number,
05:32his contact ID, his date of birth and his section.
05:35So here I have got data of Priyanka as well as data of Yash.
05:39When I have more than one student's data collected,
05:43then it becomes a database.
05:45So here whenever I have more than one data collected,
05:50then it becomes a database.
05:53That data should be from a similar category.
05:55Like here I have defined a category,
05:57enrollment category.
05:59So in the enrollment category,
06:00the people who have enrolled,
06:01I have data of all of them.
06:03So in the same way,
06:04different categories have different data.
06:06But among all these,
06:08I have brought one more thing,
06:10that Yash is watching my course on mobile.
06:14Priyanka is watching my course on laptop.
06:17And there is a third person,
06:18he is watching my course on his smart television.
06:21So this has become a different type of category
06:24that he is watching my course on.
06:26It will not come in the enrollment category.
06:28So the category here will create a different type of data,
06:32which I can make a different database of.
06:34But I can't combine it.
06:36I would like to give you another similar example of data.
06:39So here I give the example of school management.
06:42For example, in class 10,
06:45the number of students is 50.
06:47So here I have data of 50 students,
06:49in which there are their names,
06:51their roll number,
06:53their grade,
06:54that in which exam they have done which grade.
06:57And their last,
06:58when they have paid the fees,
07:00that is the detail.
07:01And how much fees they have paid,
07:03and their student fees are remaining.
07:05So I have all these details of the student.
07:08So this is the student data I have.
07:10In school management,
07:11student data has been collected here.
07:13But if I talk about this,
07:15that in school 60 students,
07:18in class 10 there are 60 students.
07:20But in class 10 there is a table of 50.
07:22So that is not useful data.
07:24But that data is of class 10.
07:26So whatever data it has,
07:28it belongs to a different category,
07:30which has nothing to do with school management.
07:33Means it is from school management,
07:35but it has nothing to do with the student's ID details.
07:39It belongs to a different category of staff,
07:42that how many tables are there,
07:43how many benches are there.
07:44All that is from a different category.
07:46So data can be anything.
07:48But when the data of a similar category is combined,
07:51then it becomes a database.
07:53So this was a simple definition of data and database.
07:57So I hope you got to know this.
07:59So here I have given you the definition of data.
08:02So here you can see the type.
08:04Data can be anything.
08:05It can be a fact, it can be an observation,
08:07it can be a number, it can be a character,
08:09it can be a symbol, or it can be an image,
08:11or it can be something else in the data.
08:14So here I have given you some data,
08:16that what type of data you can get.
08:19And here the database is the same thing
08:21that I have just told you.
08:22Database is a collection of related data.
08:25So here you just have to remember this much.
08:28If you read their definition, you will get confused.
08:31So in detail, in the coming classes,
08:33we will learn step by step.
08:36We are just learning as much as is useful now.
08:39So what is a database?
08:40Database is a collection of related data.
08:43It is a collection of similar categories of data.
08:46We call it a database.
08:49Databases are of different types,
08:51of different categories.
08:53So we will not discuss all that now.
08:55I have given a link in the description.
08:57I have already made a video on this.
09:00So you will get the link in the description.
09:02So you can go there and see in detail about it.
09:06And in this course also,
09:08we are going to tell you step by step.
09:10So now let's talk about DBMS.
09:13We know what data is.
09:15We know what a database is.
09:17Now let's talk about DBMS.
09:18What is a database management system?
09:21We will not go into detail.
09:22We are just going to read one line of this definition.
09:25That is, database management system
09:27is a software for storing user data.
09:31Okay.
09:32So you just have to remember this much.
09:35That database management system
09:37is a type of software
09:39that stores user data
09:41and is useful for using it.
09:44That's all we have to remember about DBMS.
09:47The rest of the definitions,
09:48in the future,
09:49as I have already told you,
09:51I am repeating the same thing again and again
09:52that in the coming classes,
09:54we are going to know step by step very well.
09:57So what do we have to remember for now?
09:58DBMS.
09:59Data.
10:00Database.
10:01Okay.
10:02I have already told you about everything.
10:03What is data?
10:04Any thing's collection is data.
10:07Database is made up of the same category of data.
10:10And what is database management system?
10:12The database that we have collected,
10:13to store it,
10:15there is a software
10:16which we call DBMS database management system.
10:19In this system,
10:20we store our database.
10:22The data that we have collected from a similar category,
10:25which is made up of database,
10:26we store them in our DBMS software.
10:30Now what is that software going to be?
10:31That software is Microsoft's MS Access.
10:34Okay.
10:35There are many different types of software,
10:36but one of the most popular software of DBMS is
10:40Microsoft Access.
10:41So we are going to work in that.
10:44So let's see the details of the course.
10:47So the first name that comes here is
10:49course name,
10:50Microsoft Access full course,
10:52whose level is going to be basic to advanced.
10:55We are going to cover this course in a very basic way.
10:57This is our first class.
10:59You can understand from this class
11:01that how much basic level I am covering your course.
11:04Okay.
11:05There are some requirements.
11:06To learn this course,
11:07you need some requirements.
11:09So first of all,
11:10you should have basic computer knowledge.
11:12And you should have a computer
11:14which has a minimum of 1 GB RAM.
11:16So the computers that are coming nowadays,
11:172, 4, 8 GB RAM is the minimum.
11:21So you should have a PC with 1 GB RAM.
11:23Okay.
11:24This is the duration of the course.
11:25This course is going to last for one month.
11:27From today,
11:28we will complete this course within one month.
11:31Okay.
11:32After that,
11:33I have designed this course from basic to advanced level.
11:37And what are we going to learn in this course?
11:40So in this course,
11:41we are going to learn through an example.
11:43So in MS Access,
11:44the database,
11:45the data that we are going to enter,
11:46we are going to do that of the school.
11:48So just like I gave you an example in the data,
11:51the data of the school,
11:52which we combine together,
11:54so in the same way,
11:55the example that we are going to learn from here,
11:57we are going to learn from the school.
11:58So the data of the school,
12:00like the student's name,
12:02student's roll number,
12:03student's class,
12:04student's grade,
12:05whether they have paid their fees or not,
12:07their contact number,
12:08their parents' details,
12:09and their parents' contact number,
12:11all the required data for school management.
12:14So we are going to take an example of all that
12:16and complete this course.
12:18Okay.
12:19So let's start today's class.
12:22So this is the introduction.
12:24And the class is getting a little long.
12:26So let's take a little more 2-3 minutes.
12:29And I'll tell you how the user interface of MS Access is.
12:32And how you can open it for the first time.
12:35Okay.
12:36So let's go to class number 1, introduction.
12:38So let's start our class.
12:40So...
12:45Okay.
12:46So here I have come to my desktop.
12:48There are many ways to open MS Access here.
12:52You simply right-click on your desktop
12:54and you will see the new section.
12:57Microsoft Access Database.
13:02You can click on any of them.
13:03So a file will be created directly on your desktop from here.
13:06You can open it.
13:07The second way is that you get to see a start menu here.
13:10Here you get to see the category in A only.
13:13Access.
13:14If you have an old version of MS Access,
13:16then you will get to see it in a group.
13:19You will have to scroll down below in the M category.
13:22There you will get to see all the Microsoft tools.
13:24For example, here it is written Microsoft Office Tool.
13:26There it will be written Microsoft Office.
13:28And there you will get to see all the Microsoft software
13:32which is installed in your PC in one place.
13:35There are two ways.
13:36And third, here you can directly search Microsoft Access.
13:41And after that, you can simply open it on a single click.
13:46If you open it, you will get to see this type of interface.
13:50You get to see the recent opening documents on the left-hand side.
13:56So first of all, I remove the sample from here.
13:59Remove from list.
14:00Okay.
14:01So now this software has happened in such a way
14:03that I have opened it for the first time.
14:05I have not opened it before today.
14:07So I will get to see this type of interface in it.
14:10Now here, the section on my left-hand side,
14:13in which I have opened a previous file,
14:16which is used regularly, I am telling for the user.
14:19If you have opened a previous file,
14:20then you will get it in the recent tab here.
14:22If you have already kept a file in your PC,
14:25if you want to open it,
14:26then you can open it in the open other file here.
14:28Okay.
14:29So here you get two options to see this.
14:31After that, here you get the section on the right-hand side.
14:34You get different types of templates.
14:37So here you can see a blank.
14:39Blank means an empty database
14:41in which you can create your template accordingly.
14:44After that, here you get to see different types of templates.
14:47Contact, Student Event, Task Management.
14:50After that, Customer Service, Inventory Management.
14:53After that, Time Guard and Vehicle Maintenance.
14:56Here you get to see different types of templates.
15:00And if there is an internet connect in your PC,
15:02then you can also search templates here.
15:05So online free of cost POSI templates are available.
15:08So you can search them here.
15:11So this is its basic interface.
15:13And let's open a blank database and show you.
15:16So simply you have to single click.
15:18If you do a single click,
15:20then you are asked the file name here.
15:22What is the name of the file you want to create?
15:26So whatever your name is, you can put your name here.
15:29So here I leave the class.
15:33Here we leave the name of our course.
15:37MS Access.
15:40In the starting, we write Learn MS Access.
15:42Okay.
15:43So it will be a little easy here.
15:45Identify it here.
15:47Now you must have noticed one thing.
15:49If you open Microsoft's software,
15:52whether it is MS Word, PowerPoint or Excel.
15:55You are never asked in the starting.
15:57Nor are you told to enter your name here.
16:01What is the name of the file you want to save?
16:03When our work is done, we are in control.
16:04Then we come out of our keyboard.
16:06Then we are asked what is the name of the file you want to save?
16:09Save it to your location.
16:11But here we have been asked the name.
16:13And here we have been told that your file is going to be saved on this location.
16:17So by clicking on it here, you can change that location.
16:21So here basically I have created a folder on the desktop.
16:24Access 2019.
16:25And I have created a file folder in it.
16:28So I would like to save it in this folder.
16:31Okay.
16:32So here you can select the file and the access of the type.
16:36So this file will open in the version from 2007 to 2016.
16:42Okay.
16:43And here you get to see three different versions.
16:462002 and 2003 format.
16:482000 format and 2007 too.
16:51Up to whatever is going on today.
16:54It will open in this.
16:55It is written 2016 but we are creating in 2019.
16:58No file can be opened in 2019.
17:00Okay.
17:01So here the current version from 2007 to now.
17:04It will open in all of our MSXs.
17:06And here as soon as I do OK.
17:08So you can see this location below.
17:10Here the name of the destination has changed.
17:16And the name of the file has an extension at the end.
17:20Now I just have to click on create.
17:24I clicked on create here.
17:26Now this is our main interface of MSXs.
17:29Let's finish the video here.
17:31We will learn about the interface in the coming videos.
17:34We will learn about each software and each tool.
17:38So let's hope you enjoyed this video.
17:41This is our class number one MSXs course.
17:44And the next class will be uploaded here very soon on our channel.
17:48So stay tuned on our channel.
17:50If you liked the video, then like it.
